5. Booking and payment providers

Birth in Bloom uses third-party services to manage bookings and payments.

Amelia

We use Amelia as our online booking system.

When you make a booking, information such as your name, contact details, booking information and information you provide through the booking form may be processed through Amelia.

This may include health and pregnancy information that you choose to provide as part of the booking process.

Square

We use Square to process payments.

When you make a payment, payment information is processed securely by Square. Birth in Bloom does not normally receive or store your full payment card details.

Amelia and Square have their own privacy and data protection practices and may process personal information in accordance with their own privacy policies.

We may also use other trusted providers for services such as website hosting, email, accounting or technical support where necessary.

6. Sharing your information

We do not sell your personal information.

We will only share personal information where there is a legitimate reason to do so. This may include sharing information with:

  • Amelia for managing bookings
  • Square for processing payments
  • Website and technology providers
  • Professional advisers such as accountants, insurers or legal advisers where necessary
  • Emergency services where necessary to protect someone’s health or safety

We will only share the information that is reasonably necessary for the relevant purpose.

7. International data transfers

Some technology, website, booking, payment or email providers may store or process information outside the United Kingdom.

Where personal information is transferred internationally, we will take reasonable steps to ensure that appropriate safeguards are in place in accordance with UK data protection law.

8. How long we keep your information

We will not keep personal information for longer than is reasonably necessary.

How long information is retained depends on why it was collected.

For example:

  • General enquiries will normally be deleted when they are no longer required.
  • Booking and financial records may be retained for up to six years where necessary for accounting, tax, legal or insurance purposes.
  • Health and participation information will only be retained for as long as reasonably necessary for safety, insurance and legal purposes and will then be securely deleted.
  • Marketing information will be retained until you unsubscribe or withdraw your consent, unless there is another lawful reason to retain limited information.

We may keep information for longer where required by law or where it is necessary in connection with an ongoing complaint, insurance matter or legal claim.

9. Marketing communications

We may occasionally send information about Birth in Bloom classes, new sessions, events or related services.

Where required, we will only send electronic marketing communications where you have consented to receive them.

You can unsubscribe at any time by using the unsubscribe option in an email or by contacting us directly.

Unsubscribing from marketing will not prevent us from sending necessary administrative messages about a class you have booked.

We take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

Access to personal information is limited to those who reasonably need it for the operation of Birth in Bloom.

Because health information can be particularly sensitive, we take additional care over how this information is collected, accessed and stored.

  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete your personal information in certain circumstances
  • Ask us to restrict how your information is used
  • Object to certain uses of your personal information
  • Ask for certain information to be transferred to you or another organisation

Withdrawing consent will not affect the lawfulness of any processing that took place before consent was withdrawn.

If you would like to exercise any of these rights, please contact:

ellie.birthinbloom@gmail.com

We may need to verify your identity before responding to a request.

13. Complaints
